Allergen 101

MarketMan allows you to track all allergens in your kitchen - based on your locale, you'll have the local requirements for allergens tracking available.

You can set every inventory item to "Contains", "May contain" and "Does not contain" for super accuracy.
Based on the allergens tied to an inventory item, all of your recipes including this ingredient will update to be "Containing", "May contain" or "Not containing" that allergen. 

Why should I use it?
  1. Know your allergens - export the allergens book. This way if someone comes in with an allergy you can quickly and easily tell them what they can and cannot eat!
  2. Automatically display allergens on your cookbook for the staff to follow up and be aware of.
    Food allergies are no joke and we always wanna make sure we take all measures to ensure a
    safe experience! 

  3. Where can I see my allergens once assigned?

    1) Inventory > Allergens > Download

    2) Cookbook

    3) Sub-Recipes/Preparations

    4) Menu Items

HOW TO SET ALLERGENS - Step by Step

To set up allergens 1 by 1:

  1. Go to "Inventory" > "Allergens"
    From this screen, you have the ability to filter by supplier, category, storage area, and allergen type.

  2. Any item that says "missing info" means it has not been labeled. Every item should be labeled even if it is labeled as does not contain it!

  3. In the pop-up that opens up, select the allergens for that item:

    If you leave something as "no info" you'll see the red "missing info" alert on the item.
    Don't forget to hit "Save"!

To set up allergens in bulk:

  1. Go to "Inventory" > "Allergens"
    And select the few items of same allergens. (it might be best to filter by category for this step, and use the "select all" option!)
  2. Click on "Actions" > "Bulk update"

    You can also mark as "no allergens" right from here (great for drinks / veggies etc) clear the allergens selection or validate.
  3. In the pop up that comes up, set up all allergens - remember: this applies to all selected items!mceclip2.png

    Don't forget to hit "Save"!
HOW TO UPLOAD ALLERGENS FROM EXCEL - Step by Step
  1. Go to "Inventory" > "Allergens"
    Then click on the "file update" button on the top right.

  2. In the pop-up, click on "Download allergens file" to get the file in the format we need

  3. The Excel download will include all of your inventory items and SKUs - so make sure you always work on a fresh file.
    In the Excel, you'll have columns for each allergen, and you should add in the cells for each item:
    Contains, May contain, Does not contain
    When you're done - save the Excel and go back to MarketMan.

  4. Go to "Inventory" > "Allergens"
    Then click on the "file update" button on the top right.

  5. Click on "Upload allergens file", and then add the Excel you just saved, and click "Upload".

Mastering Allergens - Validating items
  • Marking as validated means the item has been reviewed, and you are confirming the allergens selections are correct.
    You can only "mark as validated" once you have selected the allergen level for each available allergen. This means all of them must be assigned to: "Contains", "May contain" or "Does not contain" and you can't have any of them set up to "No info".

  • Allergens validation list is a requirement in some countries, depending on your location, chain size and sales volume.
    If you don't already know that you need to validate your items' allergens - you probably don't need to do this at all. (but of course, you can!)

Adding New Allergens

What happens when the Food and Drug Administration announces a new allergen? 

  •  When a new allergen becomes available you will receive a notice on the allergens page

  • There are 2 options to update your inventory items. We suggest exporting your current list of validated items to an excel file, updating it with the new allergen, then uploading the file back into MarketMan.

1. Download a file of all current allergen information to excel. Bulk update through excel and then upload this file using the orange Upload by file button.
2. Bulk update through MarketMan by using the multi-select > Actions > bulk update function. However, this will require the revalidation of all items (even those previously validated) to acknowledge the item does not contain the new allergen. 

 

Extra tips - from the experts!
  • You can also set up the allergens directly from the inventory items screen! Just move the product to advanced mode, click on the pencil to edit the purchase item, and select the allergens accordingly!
  • If you are part of a multi-location chain, allergens must be set up in HQ

  • The available allergens vary based on your location. Certain countries will see different allergens than others.
